Toys and gifts: buying at wholesale prices in Shenzhen

Shenzhen sits inside the Pearl River Delta manufacturing belt, and a large share of the world's toys, stationery, gift packaging and seasonal goods is produced within a short distance of the city. The wholesale markets here sell close to factory pricing, provided a buyer understands how the quotation works.

01

Overview — why Shenzhen for toys and gifts

The advantage here is proximity to production rather than any single market. Factories in Guangdong supply the wholesale halls of Shenzhen directly, so the goods on the shelf are frequently the same goods that appear in retail packaging abroad, without the layer of import, distribution and retail margin in between. The categories that reward a visit most are plush toys, construction and educational sets, stationery and paper goods, gift wrapping and packaging, small novelties, and seasonal decorative items.

Two things distinguish this category from electronics or eyewear. First, goods are priced and sold by the lot rather than by the piece, so the unit of purchase is a carton, a box or a minimum quantity rather than a single item. Second, the saving is realised on volume, which means the decision to buy is also a decision about luggage or freight. A visitor buying gifts for a family will do well; a visitor buying one item will find the single-piece price less remarkable.

The wholesale halls in Sungang and at South China City in Longgang are the two clusters most often used for this category. They differ in layout, in the balance between wholesale and retail, and in how much English is spoken at the counter, which is why the district detail below is left for verification rather than summarised from second-hand descriptions.

Price reference

Price levels are published only after they have been quoted at the counter and recorded with the date. The structure below shows how a quotation is built, so that the filled table can be read correctly.

How to buy well — specifications, quantities and checks

State the basis of the purchase before asking for a price. A stall quoting wholesale needs to know that you are buying wholesale; a visitor who asks for the price of one item will be given the single-piece figure and will then have to reopen the conversation. Ask for the minimum order quantity first, then ask whether styles and colours may be mixed within one carton, because that condition determines whether the quantity is realistic for you.

Record the specification in writing before paying: item name, model or style number, unit count per carton, total cartons, unit price and total. Verbal quotations at wholesale counters are where most post-payment disagreements begin, particularly once the goods have been moved to the packing area.

  • Open one carton before paying. Count the contents, and check that the goods match the sample shown on the shelf rather than a similar but cheaper line.
  • Read the printed packaging. Age grading, material description and manufacturer name and address are required on compliant goods. Their absence tells you something about the production line, and it also creates difficulty at your home border, where labelling rules for children's products are enforced.
  • Check the physical construction. On plush items, examine the stitching around attached features and the seam strength. On rigid toys, look for sharp edges, loose small parts and the condition of any coating.
  • Check anything powered. A battery compartment with a screwed cover rather than a clip is one of the quicker indicators of build quality. Look for the certification mark and for the rating label.
  • Confirm what the price includes. Ask whether the quotation covers export cartons, whether repacking for air freight is available, and who bears the cost of a packing list.
  • Ask about the licence. Where character or brand licensing matters to you, request the authorisation documentation. Expect to pay more for licensed goods, and treat the absence of documentation as the answer.

Negotiation at this level is not haggling over one item; it is a conversation about quantity tiers. The price moves when the quantity crosses a threshold, not when the buyer insists. Asking for the tier structure is more productive than asking for a discount.

Recommended partners

To be completed. Stall or company names in Chinese and English, building and floor or unit number, contact telephone, product specialisation, and the status of the relationship. Contact details are published only after a visit to the counter. 待填:商户名称(中英文)/ 楼层档口号 / 联系电话 / 主营品类 / 合作状态
To be completed. Which partners accept individual travellers rather than trade buyers only, which provide export cartons and packing lists, and which can arrange consolidation or onward freight. 待填:是否接待散客 / 是否提供出口包装与装箱单 / 是否可代办货运
To be completed. Assessment notes for each partner: consistency between sample and bulk, condition of packaging on collection, and whether the stall issues the documentation required for a departure tax refund. 待填:样品与批量一致性 / 包装状况 / 是否可开退税单据

Common pitfalls

  • Unit confusion. A quoted figure may be per piece, per pack, per dozen or per carton. Confirm the unit explicitly, and confirm the count inside the carton, before agreeing anything.
  • Substitution after payment. The sample on the shelf and the carton brought from the stockroom are not always the same line. This is the reason for opening a carton before paying rather than after.
  • Display models. Goods that have been on open display may have faded, been handled, or lost small accessories. Ask for stock rather than the display unit.
  • Unlicensed character goods. Packaging that imitates a known property without a licence statement creates difficulty at the border and on online marketplaces at home.
  • Dye and batch differences. Colours vary between production runs, so a reorder or a second carton may not match the first. Buy the full quantity in one go where matching matters.
  • Restricted components. Lithium batteries, magnets in certain configurations, aerosols and liquids are frequently rejected by carriers. Check before ordering quantity, because the restriction applies to the goods regardless of value.
  • No returns on wholesale. Wholesale transactions are generally final. Anything agreed verbally needs to be on the receipt, because there is no later opportunity to correct it.

Getting it home — tax refund, shipping and customs

Departure tax refund. The refund is available only at stores enrolled in the scheme, and many wholesale counters are not enrolled, so this should be confirmed before paying rather than assumed. Where it does apply, the minimum spend is calculated per store on the same day, the refund rate follows the tax rate applied to the goods, and the unified departure deadline applies. Ask for the refund form and the original invoice at the point of purchase; neither can be produced afterwards. Shenzhen operates six refund ports, including four land crossings, so a traveller leaving overland for Hong Kong to fly onward can still claim. The current figures are set out on the visa and tax refund page.

Shipping. A posted parcel enters as a commercial import and does not receive the traveller allowance that applies to accompanied baggage. This is the single most expensive misunderstanding in this category, because the goods are exactly the kind that tempt a large order. Carriers price on volumetric rather than actual weight, so light bulky lines such as plush toys and gift packaging cost far more to ship than their weight suggests, while dense small items travel comparatively well. Obtain a commercial invoice and a packing list, and check the restricted-goods list of the carrier before committing to a quantity.

Carrying. Hand luggage and checked allowance are finite, and cartons of toys consume volume quickly. Where the order is split, consider sending dense goods and carrying fragile or high-value items. Declaring goods at the border remains a personal obligation, and the threshold depends on the rules of the country of residence rather than on anything at the Chinese counter.

Product standards. Children's products are regulated at destination. Age grading, small-parts warnings and fibre or material labelling may be required in a form that differs from domestic Chinese packaging, so check the labelling requirement at home before buying quantity intended for resale.

Frequently asked questions

Do I have to buy in bulk to get wholesale prices?

Most stalls quote two figures: a wholesale price that applies from a minimum quantity, and a single-piece price that is higher. State which one you want before asking, because the answer changes the quote. Some stalls allow a mixed carton across styles within one product line, and others require a full box of one style and colour. Ask about the minimum order quantity first, then about mixing.

Are licensed character goods safe to buy here?

Treat unlicensed character goods with caution. Packaging that imitates a well-known property but carries no licence statement, no manufacturer name and no address creates difficulty both at the border and on online marketplaces at home, where such items are routinely removed. If the licence matters to you, ask for the authorisation documentation and expect to pay more for it.

How should I check quality before paying?

Open one carton before paying and count it. Check the printed packaging for age grading, material description and manufacturer details, since these are required on compliant goods and their absence is informative. On plush items, check stitching and the seams around attached features. On anything with a battery compartment, check that the cover is screwed shut rather than clipped, and look for the certification mark.

Is it cheaper to ship a carton home or to carry it?

It depends on volume rather than weight. Carriers price on volumetric weight, so light bulky goods such as plush toys and gift packaging cost far more to post than their weight suggests, while dense small items travel comparatively well. A posted parcel also enters as a commercial import and does not receive the traveller allowance. Compare both routes before ordering a large quantity.

Can I claim the departure tax refund on wholesale purchases?

The refund applies only to purchases from stores enrolled in the scheme, and many wholesale stalls are not enrolled. Where it does apply, the minimum spend is per store on the same day, the refund rate follows the tax rate on the goods, and the unified departure deadline applies. Always ask for the refund form and the invoice at the point of purchase.

Planning a toy or gift buying trip?

I am based in Shenzhen and work with visitors from the planning stage through to departure. I research the markets and price levels in advance, arrange the route by category and number of days, and accompany clients at the counter to confirm specifications, quantities and documentation. Fees are quoted individually, based on the length of the day, the categories involved and the amount of preparation required. You will receive a written quote before anything is confirmed.
